Position Overview

The Recruiting Administrator will support and implement recruiting and marketing initiatives for the Health Recruiting team.

Responsibilities

  • Consult with the Recruiting Manager to discover staff requirements and specific job objectives
  • Work with Contract Managers to assemble candidate submission packages for contract employees/ICs being rehired or push through onto a new position
  • Create and manage job orders in ATS/CMS for contract employees/IC’s being rehired
  • Assist Recruiters with various duties, such as submitting security clearance requests, creation and cancellation of job orders in ATS/CMS, and assembling candidate submission packages
  • Assist with conducting ATS/CMS audits on topics such as credentials, job postings, new hires
  • Assist with preparing and compiling various reports and presentations
  • Stay informed on the latest recruiting trends, tools, and best practices to enhance hiring strategies and improve candidate experience
  • Assist with gathering market data and formatting resumes for bid submissions
  • Participate in recruiting process improvement projects as required
  • Assist Recruiters in planning and executing effective social media recruitment campaigns that will help attract high caliber candidates
  • Support recruitment team with creation of social media content
  • Monitor and analyze the effectiveness of marketing initiatives and making data-driven adjustments to optimize results
  • Create and maintain central repository of marketing collateral for social media and print advertising
  • Assist in designing print ads, manage content deadlines, and ensure alignment with publication specifications.
  • Manage event calendars, coordinate exhibitor registrations, and oversee logistics for in-person and virtual job fairs and conferences, including sourcing promotional materials, coordinating shipping of booth to/from events, and creating marketing content.
  • Enhance Calian visual presence through branded templates, bilingual content, an expanded image library, and consistent application of branding guidelines, working closely with Calian’s Commercial Team to align efforts and ensure a unified brand voice across all initiatives.

Qualifications

  • Strong administrative and time management skills
  • Solid knowledge of managing recruitment initiatives
  • Familiarity with emerging trends on social media platforms, including LinkedIn, Facebook, and Instagram
  • Ability to prioritize and complete projects within deadline
  • Strong verbal and written communication and interpersonal skills
  • Ability to work independently and with a team
  • Flexibility and adaptability to changes in technology
  • Excellent networking abilities
  • Completion of degree or diploma in SEO, Marketing, Communications, Human Resource Management, Business Administration, and/or another related field
  • A minimum of 1 year experience in administrative functions
  • Demonstrated experience in managing and optimizing social media platforms (i.e. LinkedIn, Facebook, etc.) for recruitment and marketing purposes, with a strong understanding of audience engagement strategies and content creation
  • Experience with HR databases, applicant tracking systems (ATS) and candidate management systems (CMS)
  • Advanced computer skills (Microsoft Outlook, Word, Excel and PowerPoint)
  • Experience using Canva is an asset
  • Bilingual (English/French) preferred

Additional Requirements

Ability to obtain and maintain Government of Canada Secret-level security clearance is required.

Compensation

$55,000 – $60,000
