As the Project Controls Coordinator, you will provide coordination and administrative support to the Project Controls function across assigned programs. You will ensure that change requests, reporting deliverables, KPI updates, and risk review activities are properly tracked, documented, and delivered on time.

 

The role focuses on maintaining registers, monitoring deadlines, coordinating inputs from stakeholders, and ensuring reporting discipline across Project Controls processes.

RESPONSIBILITIES:

 

  • Maintain and update the master Change Request Register and track all change requests through their lifecycle stages;

  • Follow up with stakeholders to ensure required documentation, impact assessments, and approvals are submitted on time;

  • Maintain a master calendar of Project Controls deliverables including weekly reports, monthly reports, KPI dashboards, governance meetings, and client submissions;

  • Coordinate and consolidate inputs for recurring reports;

  • Maintain document control and version tracking of Project Controls deliverables;

  • Support coordination of risk review meetings and track mitigation action items;

  • Monitor overdue change requests or risk actions and escalate to the Project Controls Manager as required;

  • Prepare meeting agendas and ensure required documentation is available in advance of governance reviews;

  • Support audit readiness by ensuring documentation is organized and traceable;

  • Provide general administrative and coordination support to the Project Controls team.

 

Qualifications

  • Diploma or bachelor’s degree in administration, business, engineering, or related field preferred;

  • 2–4 years of experience in project coordination, administration, or similar role;

  • Strong organizational skills and ability to manage multiple priorities;

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook);

  • Strong communication skills and ability to follow up effectively with stakeholders;

  • Ability to work independently with minimal supervision;

  • Proficiency in French and English (written and spoken). Fluency in English is required for this position, as you will interact with English-speaking suppliers, stakeholders or clients.

  • Successful completion of the security screening process and obtainment of the required security clearance under the Federal Government’s Contract Security Program (minimum of 5 years of residency in Canada, with no interruption of 6 consecutive months.
