POSITION SUMMARY

 

The Maintenance Coordinator is a key role supporting the effectiveness, organization, and cost control of the maintenance function at Blue Mountain Plastics Recycling in Shelburne. Working closely with the Plant Manager and Maintenance Manager, this position is responsible for coordinating maintenance activities, managing purchase orders, supporting preventive maintenance planning, and ensuring accurate maintenance data and documentation.

 

This role plays a critical part in maintaining equipment reliability, minimizing downtime, and supporting safe, efficient plant operations. The Maintenance Coordinator will also support the daily use and administration of the FiiX Computerized Maintenance Management System (CMMS) to track maintenance activities, assets, and inventory.

 

RESPONSIBILITIES

 

Purchase Order & Maintenance Spend Management

  • Own and manage the full purchase order (PO) process for maintenance materials, parts, and services
  • Create, track, and reconcile maintenance POs, ensuring accuracy and timely processing
  • Obtain quotes, coordinate pricing, and manage lead times with vendors and service providers
  • Ensure all maintenance purchases align with approved budgets and internal controls
  • Resolve invoice discrepancies and support month-end and audit requirements
  • Maintain accurate records of maintenance spend and supplier documentation

Maintenance Coordination & CMMS Administration

  • Support the daily administration of the FiiX CMMS, including work order entry, tracking, and closure
  • Ensure maintenance work orders are properly documented, coded, and completed
  • Assist in building, reviewing, and maintaining preventive maintenance (PM) programs
  • Support scheduling and planning of preventive and corrective maintenance activities
  • Periodically audit CMMS data for accuracy, structure, and compliance

Parts, Inventory & Vendor Coordination

  • Monitor maintenance parts inventory and initiate replenishment as required
  • Coordinate with the maintenance team to ensure parts availability for planned work
  • Maintain organized records of spare parts, equipment, and vendor information
  • Coordinate contractors and external service providers for maintenance and shutdown work

Reporting, Analysis & Continuous Improvement

  • Support maintenance reporting related to downtime, PM compliance, and recurring equipment issues
  • Assist with root cause analysis documentation for repeated failures and breakdowns
  • Identify trends in maintenance data and escalate findings to the Maintenance Manager and Plant Manager
  • Support continuous improvement initiatives related to reliability, cost control, and asset performance

Safety & Documentation Support

  • Follow all BMPR safety policies and procedures at all times
  • Support maintenance-related SOPs, procedures, and documentation
  • Maintain a visible presence on the production floor to support coordination between maintenance and operations

 

EDUCATION/SKILLS/EXPERIENCE

 

Required

  • 3–5 years of experience as a Maintenance Coordinator or in a similar maintenance planning/administrative role
  • Previous experience in a manufacturing environment (industrial or process manufacturing required)
  • Strong experience with purchase order management and maintenance procurement
  • Experience working with a CMMS (experience with FiiX is an asset but not required)
  • Strong organizational, time management, and prioritization skills
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Strong communication and interpersonal skills

Preferred / Assets

  • Experience in a recycling, plastics, or heavy industrial environment
  • Basic mechanical or electrical knowledge to support maintenance planning and parts identification
  • Experience supporting preventive maintenance programs and reliability initiatives
  • Familiarity with vendor management and contractor coordination

 

WORKING ENVIRONMENT AND PHYSICAL DEMANDS

  • Combination of office-based administrative work and time spent on the plant floor
  • Frequent walking throughout the facility, including stairs and uneven surfaces
  • Occasional bending, kneeling, and standing for extended periods
  • Exposure to manufacturing conditions including noise, dust, and varying temperatures
  • PPE such as safety footwear, safety glasses, and hearing protection is required

 

SALARY: $65-70K/year to start
