About the Opportunity

Our client, a global leader in the financial services and investment management space, is seeking an Administrative Associate to join their Toronto office. This role is ideal for someone who thrives in a collaborative, people-first environment and enjoys being at the center of day-to-day operations. You will act as the face of the office, supporting both front desk responsibilities and senior leadership while ensuring the workplace runs smoothly.

This is a highly visible position where you will interact with employees across all levels, from new hires to executives. You will play a key role in creating a welcoming and organized office experience, contributing to a culture that values teamwork, professionalism, and strong relationships. This opportunity starts as a contract with strong potential to convert to a permanent role.

Your Responsibilities

  • You will serve as the first point of contact, greeting visitors and managing front desk operations with professionalism
  • You will coordinate meetings, manage calendars, and support scheduling for team members and leadership
  • You will handle office operations including mail, deliveries, kitchen upkeep, and supply inventory
  • You will assist with meeting logistics including room setup, catering, and light coordination with building security
  • You will prepare and format documents, presentations, and internal communications
  • You will support general administrative tasks and contribute to special projects as needed

Skills and Qualifications

  • 2+ years of administrative or reception experience in a corporate environment
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Excellent communication skills with a polished and professional demeanor
  • Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint
  • High attention to detail and ability to manage confidential information
  • Reliable and punctual, with a strong sense of accountability
