About the Opportunity

Our client, a dynamic organization within the financial services sector, is seeking an Administrative Assistant to support a senior leader and a small, high-performing team. Working closely with a sales-focused leader and research professionals, you will play a key role in keeping priorities organized, strengthening client follow-up processes, and ensuring seamless coordination across activities. Your Responsibilities

  • You’ll manage a busy and evolving calendar, ensuring meetings, travel, and priorities are well coordinated
  • You’ll organize and maintain client communications, tracking follow-ups and supporting relationship management
  • You’ll download, organize, and maintain data in Excel, ensuring files are structured and accessible
  • You’ll support administrative operations, including expenses and invoices
  • You’ll coordinate meetings and prepare materials, ensuring all logistics run smoothly
  • You’ll help build systems and processes that improve organization and efficiency across the team

Skills and Qualifications

  • 2 to 4 years of progressive administrative experience, ideally within financial services
  • Must have completed a post-secondary degree or diploma
  • Strong proficiency in Microsoft Office, particularly Excel, Outlook, and PowerPoint
  • Highly organized with strong attention to detail and follow-through
  • Ability to work independently and take initiative in a fast-paced environment
  • Strong written and verbal communication skills
  • Excellent client service skills
  • Comfortable managing multiple priorities and adapting to changing needs
  • Must be highly organized and detail-oriented
