About the Opportunity

Our client, a well-established law firm in Ottawa, is seeking a detail-oriented and people-focused Administrative Assistant to support a collaborative personal injury team. This role is ideal for someone who enjoys balancing client interaction with behind-the-scenes coordination, helping ensure both clients and internal teams feel supported and informed.

You will work alongside lawyers, clerks, and administrative staff in a collegial, fast-paced environment where strong communication and organization are highly valued. While the role sits within a legal team, the day-to-day focus is on administration, client intake, and team coordination rather than legal-specific work. Training will be provided to set you up for success.

Your Responsibilities

  • You will provide day-to-day administrative support to a team of legal professionals, ensuring smooth operations

  • You will support with client intake by handling incoming calls, gathering information, and directing inquiries appropriately

  • You will open, maintain, and close client files, ensuring documentation is accurate and well-organized

  • You will coordinate meetings and internal logistics, including scheduling, room setup, client communication, and documentation.

  • You will support billing, docketing, and expense tracking processes

  • You will assist with general office coordination, helping maintain an organized and efficient workspace


Skills and Qualifications

  • 3+ years of administrative experience, ideally within a professional services environment

  • Strong communication and interpersonal skills, with the ability to handle sensitive conversations with empathy

  • Highly organized, with strong attention to detail and document management skills

  • Comfortable working in a fast-paced environment and managing competing priorities

  • Proficiency in Microsoft Office and general administrative tools

  • Legal or personal injury experience is an asset but not required
