About the Opportunity

Our client, a respected public sector regulatory organization within the financial services space, is seeking an experienced Assistant to the Director’s Office, Enforcement to provide senior-level administrative support within a highly collaborative and fast-paced team environment.

In this role, you will support senior leadership responsible for overseeing investigations and enforcement activities that help maintain fairness, transparency, and trust in Canada’s capital markets. Working closely with directors, legal counsel, and operational leaders, you will play a critical role in ensuring the team operates efficiently while managing sensitive information with professionalism and discretion.

Your Responsibilities

  • You will proactively manage complex calendars, coordinating meetings and resolving scheduling conflicts for senior leadership.
  • In this role, you will prepare and review correspondence, reports, and documentation to ensure accuracy and compliance with internal standards.
  • You’ll coordinate internal and external meetings, ensuring leadership is prepared with agendas, presentations, and supporting materials.
  • You will draft, edit, and proofread correspondence, presentations, and reports while maintaining a high level of confidentiality.
  • You’ll develop reports, statistics, and complex spreadsheets to support leadership reporting and operational oversight.
  • You will recommend improvements to administrative processes to enhance efficiency, consistency, and risk management.

Skills and Qualifications

  • 10+ years of progressive administrative experience in a fast-paced professional environment, including at least 4 years supporting senior leadership.
  • Legal assistant or administrative assistant diploma, or equivalent experience.
  • Advanced proficiency with MS Word, Excel, PowerPoint, Outlook, Adobe, SharePoint, and Visio.
  • Demonstrated ability to manage multiple priorities while remaining organized and adaptable.
  • Strong written communication skills with experience drafting professional correspondence and reports.
  • Proactive problem-solving skills and the ability to anticipate the needs of senior leaders.
