Mortgage Operations, RESL provides specialized underwriting and processing services to Brokers, Home Financing Advisors, and eHOME customers.

 

What you will be doing:

 

As a Mortgage Fulfillment Officer (MFO), you’ll manage assigned mortgage applications from acceptance to funding, ensuring accuracy, compliance, and timely completion. In 2024, our team funded approximately 78,000 mortgage applications – join us and make an impact!

 

Is this role right for you? In this role, you will:

 

Process & Fund Mortgage Applications

  • Prioritize and complete assigned applications within SLA with high accuracy.
  • Prepare and forward instructions to lawyers, vendors, and branches.
  • Review and upload funding documents, verify solicitor-provided forms, and ensure compliance.
  • Handle documentation for PCA, payout/transfer requests, MPA, bridge loans, and refinances.
  • Maintain accuracy across Bank systems (SMART Funding, MIMS, TLS, CIS, KS, IRIS).
  • Disburse funds correctly and prepare posting worksheets for accounting.
  • Resolve issues (title defects, missing info, system errors) and escalate when needed.
  • Provide backup support to other MFOs and recommend process improvements.

 

Deliver Exceptional Service

  • Build strong relationships with Broker Relationship Managers (BRMs), Broker Lending Managers (BLMs), Home Financing Lending Managers (HFLMs), branches, solicitors, and vendors.
  • Respond promptly to inquiries and resolve funding exceptions.
  • Manage pipeline deals in MIMS and SMART notifications to avoid delays.
  • Share product knowledge and policy guidance with partners.

 

Mitigate Risk & Ensure Compliance

  • Adhere to all regulatory, documentation, and KYC requirements.
  • Maintain confidentiality and cyber security awareness.
  • Escalate non-compliance or unusual transactions promptly.
  • Verify lawyers’ standing and update records as needed.

 

 

Do you have the skills that will enable you to succeed in this role? - We'd love to work with you if you have:

 

  • Fluency in English required.
  • Post-secondary degree (asset).
  • Minimum 1 year mortgage industry experience (preferred).
  • Knowledge of Scotiabank’s mortgage products, policies, and procedures (asset).
  • Familiarity with Bank systems: SMART Funding, Term Lending System, KS (Visa), MIMS, Workflow, CIS (asset).
  • Understanding of Broker, Home Financing Advisor, and eHOME mortgage delivery strategy (asset).
  • Basic computer skills (Microsoft Office, Adobe).
  • Ability to multi-task and meet strict deadlines in a fast-paced environment.
  • Strong organizational, prioritization, and communication skills (written & verbal).
  • Excellent customer service and problem-solving skills.
  • Ability to work independently and collaboratively.
  • Openness to feedback and commitment to team culture.
