About the Opportunity
Our client, a respected non-profit organization dedicated to supporting children, families, and the broader community, is seeking an experienced Executive Assistant to support their Human Resources leadership team. This is an opportunity to contribute to meaningful work while helping a busy department stay organized, efficient, and connected.
In this role, you will work closely with the Senior Director of Human Resources and a small, collaborative HR team that includes supervisors and consultants. You will play an important role behind the scenes by managing schedules, coordinating meetings, preparing materials, and ensuring day to day administrative processes run smoothly in a people focused environment.

Your Responsibilities
You’ll manage the Senior Director’s calendar, coordinating meetings, prioritizing requests, and resolving scheduling conflicts
In this role, you’ll prepare agendas, reports, correspondence, and meeting packages for HR leadership
You’ll capture accurate meeting minutes for committees and leadership discussions, including workload committee meetings
You’ll support HR operations by coordinating interview schedules, assisting with recruitment packages, and maintaining documentation
You’ll help maintain filing systems and update HR information across internal platforms such as HRIS systems and SharePoint
You’ll pull reports and assist with administrative tracking related to HR activities and training initiatives
Skills and Qualifications
5+ years of administrative assistant experience, ideally supporting senior leaders or HR teams
Post-secondary education in office administration, human resources, or a related field
Strong keyboarding skills, with the ability to type quickly and accurately
Proficiency in Microsoft Office, particularly Word and Excel
Experience with HRIS systems or platforms such as BambooHR is considered an asset
Knowledge of SharePoint and strong document management skills preferred
Excellent organization, discretion, and communication skills with the ability to manage multiple priorities
