Your Opportunity

We have an exciting opportunity for an Office Coordinator for the Kelowna office. Join an energetic and community-driven team. This position at Stantec plays a vital role in providing administrative support in a variety of areas for the office. This is a full-time in-office role, Monday through Friday, 8am-4:30pm.

Your Key Responsibilities

  • Greet guests, including clients, contractors, and suppliers. Support office workflow and hotel station usage.

  • Schedule meetings, book meeting rooms, handle any special requests, set up and clean up of meeting rooms. Organise catering for meetings.

  • Prepare outgoing mail (create mailing labels if required) and handle shipping and receiving for couriers.

  • Manage active directory of Kelowna staff.

  • Effectively communicate with internal staff and external clients, contractors, and suppliers through email, phone, and Teams messaging.

  • Provide staff with new and replacement access cards/keys keep inventory of assigned cards.

  • Code, scan, and send invoices.

  • Maintain office, printing, and kitchen supply and inventory.

  • Manage general tidiness of office space, kitchen, and common areas.

  • Coordinate with building manager, outside vendors and contractors for services, maintenance and repairs to office and equipment and oversee contractors performing work within the office.

  • Act as a local resource for advice on the health and safety issues related to the office practices.

  • Conduct office safety orientations for new employees and ensure that follow up documentation is completed.

  • Coordinate office monthly safety office/lab/site inspections and report findings to the office leaders and the JHSC/safety committee.

  • Act as Office Contact for new hire onboarding and transfers.

  • Assist with special events planning, including social committee activities.

  • Opportunity to engage in office social committees and developing professional groups.

  • Perform other administrative duties as required.

  • Demonstrated reliability, dependability and punctuality.

  • Flexibility and eagerness to learn new skills and responsibilities.

  • Ability to lift 15-25lbs of office supplies when necessary.

  • Proficiency in MS Office Suite.

Education and Experience

Minimum high school diploma is required. Post-secondary education in administration or related field is an asset.

Previous related experience considered an asset.

Experience working in a typical office environment is beneficial.

Pay Range:

• Locations Outside of Lower Mainland - BC & Various locations in Ontario-$45,100.00 - $60,900.00 Annually

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part-time roles will be pro-rated based on the agreed number of working hours per week.
