What you'll do

Responsibilities

Reporting to the Academic Chair, School of Trades and Transportation and School of Technology and Environment, you will:

  • Provide confidential, day-to-day administrative and organizational support to the Academic Chair.
  • Manage the day-to-day administrative and supportive functions, activities, and programs of the schools. This entails logistical planning for meetings, program scheduling, calendar management, record keeping and file management, project management support, managing and organizing data, fielding queries to the schools in relation to programs, greeting students/industry/public and booking appointments with the Academic Chai
  • Coordinate special events and liaise with internal and external communities.
  • Facilitate course feedback with learners, as well as other related administrative duties to support the schools, as required.

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Administrative Professional/Office Administration. High school completion with significant years of administrative experience (10+) will also be considered.
  • You have a minimum of three years (full-time equivalent) of recent and related occupational experience in a fast-paced office environment.
  • Experience in the Education sector would be considered an asset.
  • You have demonstrated occupational experience in the following areas:
    • Managing day-to day office functions
    • Ordering office supplies
    • Calendar management (meeting coordination and set-up)
    • Working with data information in Excel and Word
    • Utilizing databases for information manipulation
    • Working with confidential information
  • You are familiar with and comfortable using computer applications such as Microsoft Office Suite including Office 365, Teams (or any other video conference software applications) and OneNote and e-mail.
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology, and you are committed to using technology in advancing your work.
  • Experience working with PeopleSoft would be considered an asset.
  • Knowledge of the post-secondary application process would be considered an asset.
  • Experience with trades related industries and/or apprenticeship organizations/industries would be considered an asset.
  • Experience supporting/coordinating the work functions of a large and complex department would be considered an asset.
  • Experience supporting/providing service to students and prospective students in a post-secondary environment would be considered an asset.
