Location: North York, Ontario (On-site 4 days/week, Remote 1 day/week)
Language: English - strong written and spoken communication skills required
Duration: 11-week contract
Background Check Requirement: A background check is required for this position
Pay Rate: $25 - $28/hour
Hours: Monday to Friday 9am-5pm.

Your Responsibilities

  • Manage the calendars of directors to ensure meetings run smoothly despite conflicting schedules.
  • Support the Governance and Nominating Committee by preparing agendas, developing meeting packages, and handling meeting logistics.
  • Take minutes during meetings to accurately document discussions and decisions.
  • Assist with the annual Board recruitment process, including candidate screening, interviewing, and selection.
  • Help maintain both electronic and hard copy files and manuals for the Committee, ensuring easy access to important documents.
  • Provide additional administrative support to the Committee and the management lead as needed, adapting to various tasks that arise.
  • Draft and distribute emails and correspondence with clarity and professionalism.
  • Respond to urgent requests and HR-related inquiries in a timely manner, becoming the go-to person for support.

Skills and Qualifications

  • 3+ years of experience in an administrative role, preferably in non-profit or charitable organizations.
  • Strong organizational skills and the ability to manage multiple competing priorities.
  • Excellent interpersonal skills, with a focus on empathy and effective communication.
  • Proficient in Microsoft Office Suite and calendar management tools.
  • Ability to thrive in a fast-paced environment while maintaining a positive attitude.
