About the Opportunity

Join a small, established psychotherapy practice as it enters a focused growth phase. In this role, you’ll work closely with the owner, acting as a reliable and practical extension to ensure day-to-day operations run smoothly while supporting the practice’s growth. This position is perfect for someone who thrives in a multi-faceted environment, notices what needs to be done, and follows through independently.

You will have the chance to make a meaningful impact on both operational efficiency and client experience. Your contributions will support therapists, clients, and external partners, ensuring the practice delivers high-quality, consistent care while expanding strategically. This is a people-focused role within a professional services environment that values discretion, initiative, and collaboration.

What’s in it for You

  • Be part of a supportive and flexible team culture that values independent thinking and problem-solving
  • Gain exposure to business growth planning and operational management in a healthcare setting
  • Work on meaningful projects that directly impact clients, therapists, and organizational development
  • Develop and refine your skills in operations coordination, referral management, and process improvement

Your Responsibilities

  • You will support the day-to-day operations of the practice, including phone message management and intake overflow
  • You will oversee the physical office environment, coordinating vendors, supplies, and equipment as needed
  • You will develop and maintain referral relationships, drafting correspondence and tracking outreach to physicians, schools, and allied health providers
  • You will assist therapists with caseload management, monitoring availability, routing clients, and identifying early client drop-off patterns
  • You will support business growth initiatives, translating short-term priorities into actionable plans and assisting with service mix and caseload planning
  • You will document existing workflows and processes, creating clear internal documentation to ensure consistency and reduce reliance on informal knowledge

Skills and Qualifications

  • 3+ years of experience in healthcare, mental health, or professional services settings
  • Strong written and verbal communication skills, with professional correspondence experience
  • Demonstrated ability to work independently, manage priorities, and exercise judgment within limited weekly hours
  • Experience in small or growing practices is strongly preferred
  • Familiarity with hiring coordination, referral outreach, operations support, or process documentation is an asset
  • Strong organizational skills and attention to detail, with the ability to translate priorities into actionable steps
