The Executive Assistant provides high-level administrative support to the Senior Vice President and Chief Financial Office Global Wealth Management , Vice President FP&A and Asset Management and Vice President Business line Support, Global Wealth Management, ensuring smooth day-to-day operations and acting as a key liaison between the SVP and VPs, internal teams, and external stakeholders. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment

 

Is this role right for you?  In this role, you will:

 

  • Support the senior officers in day-to-day management of his/her schedule by:
    • Establishing and coordinating calendars
    • Arranging, scheduling appointments on behalf of the officer
    • Anticipating scheduling conflicts / problems and providing alternatives
    • Establishing and maintaining a BF system
    • Developing and maintaining an effective and proactive filing system on behalf of the SVP and VPs
    • Providing receptionist support by receiving, effectively screening, referring incoming calls/visitors using a high degree of discretion
    • Acting on telephone / mail requests received in the senior officer’s absence.
    • Preparing the SVP and VPs in advance of meetings with pre-reading and other relevant documentation

 

  • Organize meeting / conference facilities by:
    • Assessing and seeking out the most appropriate venue for meetings / gatherings based on size / type and attendees
    • Arranging bookings for boardrooms / conference rooms (internal)
    • Arranging equipment and materials for meetings as appropriate
    • Meeting with outside providers of service (conference centres / hotels / caterers)
    • Recommending facility alternatives
    • Overseeing arrangements, ensuring smooth execution and assessing outcomes for future reference
    • Tracking responses of meeting attendees, following up as appropriate
    • Booking travel arrangements, ensuring all requirements of officer are met.

 

  • Support the officer with correspondence by:
    • Sorting and organizing incoming and outgoing mail
    • Dealing with correspondence as appropriate (responding, delivering, filtering)
    • Composing correspondence for senior management officer’s signature
    • Producing material from written copy / rough notes
    • Proofreading work /output against source documents
    • Arranging for off-site storage and destruction of files / records for the SVP & VPs
    • Setting up / maintaining filing systems.

 

  • Assist in maintaining the senior officer / department’s expenses and other budgets by:
    • Verifying telephone bills/expense statements
    • Preparing and submitting expense reports
    • Preparing supporting documentation to process payments

 

  • Drive a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Perform other duties as assigned including the provision of back-up support to the other Administrative Officer.
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursue effective and efficient operations of the respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Do you have the skills that will enable you to succeed? We’d love to work with you if you have experience with:

 

  • 5+ years of experience supporting senior executives, preferably in Finance or Corporate functions.
  • Sound knowledge of business/bank terminology and departmental procedures.
  • Ability to work in a fast-paced environment, demonstrating flexibility and adaptability as priorities change on an ongoing basis
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
  • Strong organizational, communication, and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • High level of professionalism and adaptability.
