Location: Downtown Toronto, On-site (5 days per week)

About the Opportunity

As a Records Clerk, you’ll play a vital role in supporting the integrity and accessibility of client and firm records, helping ensure information is managed securely and efficiently.

Working closely with the Records team and internal stakeholders you’ll be part of a collaborative, detail-driven function that keeps the organization running smoothly. This role is well suited to someone who takes pride in organization, enjoys hands-on work, and values confidentiality in everything they do.

Your Responsibilities

  • You’ll maintain strict confidentiality of all firm and client records, exercising discretion and sound judgment at all times.
  • In this role, you’ll open, manage, and close client files, ensuring logs and tracking systems are accurate and up to date.
  • You’ll perform precise data entry and update records management systems to reflect file movement and access.
  • You’ll file, retrieve, scan, and upload documents in line with established departmental standards.
  • You’ll coordinate the preparation of files for off-site storage and retrieve records from on-site and off-site locations as needed.
  • You’ll respond promptly to internal file requests and inquiries by email and phone, supporting day-to-day operations.

Skills and Qualifications

  • 1–2 years of administrative experience, with data entry experience considered an asset.
  • Strong proficiency with Microsoft Office, including Excel, Outlook, Word, and Adobe, with the ability to learn new systems quickly.
  • Experience with records or document management systems, Aderant experience is an asset.
  • Exceptional attention to detail and a strong commitment to accuracy.
  • Excellent organizational, time management, and prioritization skills.
  • Proven ability to handle confidential information with professionalism and discretion.
