About the Opportunity

Altis is delighted to partner with a provincial crown agency to recruit an Administrative Coordinator / Executive Assistant to support the VP, People, Culture & Strategic Policy. In this role, you’ll provide high-level administrative and project coordination support for confidential initiatives, helping bring key People & Culture programs to life. You’ll work closely with senior leadership, internal teams, and external partners to ensure the smooth execution of events, projects, and governance activities.

This role is ideal for someone who thrives in a fast-paced, collaborative environment and enjoys taking ownership of initiatives from start to finish. You’ll contribute directly to the delivery of the organization’s People Plan, helping shape programs, manage logistics, and prepare materials that support strategic decision-making.

Your Responsibilities

  • You’ll partner with the VP, People, Culture & Strategic Policy to develop proposals and implement strategic initiatives.
  • You’ll lead and coordinate special projects from initiation to completion, ensuring alignment with team goals.
  • You’ll prepare high-quality briefing materials and PowerPoint presentations for the Board, Executive Leadership Committee, and governance committees.
  • You’ll coordinate People & Culture programs and corporate events, including workshops, leadership retreats, and annual events.
  • You’ll manage senior leaders’ calendars and organize meetings with logistics, materials, and confidential scheduling.
  • You’ll maintain and manage sensitive documentation and correspondence in line with policies, legislation, and confidentiality requirements.
  • You’ll provide general administrative support, including travel coordination and ad-hoc requests.

Skills and Qualifications

  • 4+ years of administrative or project coordination experience; 5+ years executive-level experience in the public sector preferred.
  • Undergraduate degree or diploma in Business Administration or related field, or equivalent experience.
  • Advanced proficiency in Microsoft PowerPoint, Excel, and Word, with strong data presentation skills.
  • Strong organizational, time management, and multitasking abilities to manage competing priorities.
  • Excellent written and verbal communication skills, with professionalism at all organizational levels.
  • High attention to detail, proactive problem-solving skills, and ability to work independently.
  • Experience with public sector procurement processes is an asset.
