The Opportunity

We are supporting one of our clients in identifying an Administrative Assistant to join a high energy, fast paced department. In this role, you will play a key part in supporting daily operations, coordinating schedules and ensuring seamless communication across teams. The ideal candidate is highly organized, adaptable and comfortable managing multiple priorities while handling confidential information with discretion. This role contributes directly to the success of the organization’s initiatives and overall workplace experience.

What You’ll Be Doing

  • Answering and directing phone calls while managing a professional and welcoming front-desk experience

  • Coordinating calendars, meeting invitations and agendas for multiple stakeholders

  • Booking and setting up meeting rooms, including arranging meals and refreshments

  • Reviewing, understanding, and supporting the enforcement of company policies

  • Preparing briefing notes and taking meeting minutes as required

  • Compiling, reviewing and submitting expense reports

  • Reviewing employee and direct-report expenses for accuracy and adherence to company policies

  • Providing general administrative support as required

What You’ll Bring

  • 2+ years of experience in an Administrative Assistant or similar administrative role

  • Confidence speaking with guests and clients over the phone and greeting/directing visitors in person

  • Proficiency with Microsoft 365 applications

  • Strong understanding of calendar coordination, time management and setting expectations

  • A clear, responsive and professional communication style
