About the Opportunity
This is an opportunity to step into a trusted Administrative Associate role supporting leadership within a well-established organization in the financial services sector. You’ll play a critical role in keeping leaders organized, informed, and prepared, ensuring their time is used effectively and their priorities are supported seamlessly.
Working closely with executives, internal partners, and external stakeholders, you’ll be at the centre of day-to-day operations and key initiatives. Your attention to detail, discretion, and ability to anticipate needs will directly contribute to the success of the team and the broader organization.

Your Responsibilities
You’ll manage the calendars of 4 senior leaders, proactively prioritizing and adjusting meetings as needed.
You’ll coordinate travel logistics, prepare meeting spaces, and plan on-site and offsite events, including multi-day sessions.
You’ll support daily operations by managing conference room bookings, alternate workspace arrangements, and office supply inventory.
You’ll prepare for meetings by reviewing schedules, coordinating attendees, and organizing materials.
You’ll handle phone and email correspondence with professionalism, maintaining distribution lists and accurate communication.
You’ll process expense reports accurately and support special projects and departmental initiatives as required.
Skills and Qualifications
3+ years of experience in a Senior administrative role supporting leadership
Exceptional organizational and time-management skills with the ability to manage competing priorities
Strong written and verbal communication skills with a high level of professionalism
Proficiency in Microsoft Outlook, Teams, Word, Excel, and PowerPoint
Ability to work independently and collaboratively in a fast-paced environment
Sound judgment, discretion, and confidence when working with senior leaders and external partners
