Position Summary
The Material and Repair & Overhaul (R&O) Coordinator is integral in the success of daily operations relating to the movement and management of spares and equipment. Part of the warehouse team within Supply Chain, this position works closely with Procurement, Engineering and the Service Delivery team, in addition to other internal departments; while also liaising with external organizations including suppliers, service providers and the customer.
Key Areas of Responsibility
The Material and R&O Coordinator will be responsible for ensuring the effective and timely execution of logistic activities. This function shall strive to support an uninterrupted flow of goods and/or services required by the project while ensuring compliance with quality and delivery times:
• Asset Repair and Overhaul: Coordinate all activity relating to the management of repairable assets, including but not limited to:
o Direct component repair and overhaul (R&O) activity, develop, monitor and manage repair lines and schedule.
o Track and report on status, expedite availability from repair to maintain stocking levels.
o Establish, maintain and monitor repair lines; process SOWs, RFIs and RFQs to source and enable supporting repair facilities, including OEMs.
• Asset Calibration: Maintain and oversee the equipment calibration program liaising with stakeholders as required:
o Identify and track assets subject to calibration, update status in Thales ERP, customer ERP and service providers database.
o Monitor status and initiate movement to/from calibration ensuring maximum availability of serviceable assets.
o Manage calibration cycle reporting, identifying status and schedule.
• Asset Tracking: Establish and maintain a process for the management of Special Tools and Test Equipment (STTE) and customer owned equipment:
o Track and update asset status in Thales ERP, customer ERP and additional database as required.
o Monitor status and initiate material movements, ensuring traceability.
o Establish, coordinate & manage the preventative maintenance cycle for applicable tools, equipment and inventory, ensuring serviceability of assets.
• Inventory Management:
o Track material availability and delivery dates, following up to expedite delivery and resolve issues.
o Monitor stocking levels and master data to support repair, overhaul and maintenance activity.
o Perform parts consumption analysis to identify required inventory and recommend adjustments.
o Administer and initiate master data changes.
o Schedule stocktaking activity including cycle counts and special inventories; track and record physical counting, recounting, and reconciliation of inventory discrepancies as a result of investigations.
o Support & oversee material returns identifying routing requirements; process, track and report on status as required.
• Shipping and Distribution:
o Schedule and action shipping requirements with couriers and freight forwarders.
o Ensure accuracy of documentation to include relevant notes and comments to support delivery.
o Track freight, resolve frustrated cargo situations and identify areas of improvement in distribution;
• Perform and support warehousing functions:
o Plan, schedule and perform the issue of material from the warehouse.
o Ensure accuracy of material transactions and demands to support repair and maintenance activity.
o Perform transactions in Department of National Defence (DND) Defence Resource Management. Information System (DRMIS) and Thales ERP system to update material movement and status.
• Prepare and generate reports; maintain registers and support KPIs in coordination with the Warehouse Manager.
• Liaise with internal and customer representatives in addition to external organizations while supporting a collaborative environment and maintaining effective results driven communication.
• Work proactively with the Warehouse & Supply Chain teams to enhance performance of the Function.
• Participate in and contribute to continuous improvement initiates, attend meetings.
• Become knowledgeable about company policies/procedures and continually monitor day-to-day activities for compliance.
• Support activities to ensure compliance with ISO series quality accreditation and Defense regulatory requirements.
Minimum Qualifications
• Minimum 3-5 years of relevant experience performing similar activities within a supply chain environment;
• Experience working within Procurement and/or Supply Chain & Warehousing environments.
• Working knowledge of purchasing, warehousing and distribution processes and systems
• Previous experience in the use of SAP or other Enterprise Resource Planning (ERP) system.
• Strong computer literacy, proficient in MS Office Suite.

Preferred Qualifications
• Bachelor’s Degree, Trade Certification and/or equivalent experience.
• Defense Industry experience an asset.
• Familiarity with, and in the use of, the Defence Resource Management Information System (DRMIS).
• Knowledge of the U.S. International Traffic Arms Regulations (ITAR) and the Canadian Export and Import Permits Act, experience with export control and permit application process.
Physical Demands
Predominantly office based, but will be required to lift up to 22kg/50lbs and walk or stand for extended periods of time.
Special Position Requirements
Schedule: Core Business Hours Monday-Friday, 07:30-16:00.
Physical Environment: Predominantly office based but some warehouse time as well. Will be required to lift up to 22kg/50lbs and walk or stand for extended periods of time.
