About the Opportunity

Altis Recruitment is partnering with a respected organization in the healthcare sector to recruit an experienced Administrative Assistant for a key contract opportunity in Toronto. This role is ideal for someone who thrives in a fast-paced, people-focused environment and enjoys being the organizational backbone behind senior leaders and important initiatives.

In this position, you’ll support four Administrative Directors, working closely with a collaborative administrative team to ensure day-to-day operations run smoothly. Your work will directly contribute to the success of healthcare programs and services that make a meaningful impact on the community.

Your Responsibilities

  • You’ll provide high-level administrative and operational support to four Administrative Directors, managing complex and busy calendars.
  • In this role, you’ll coordinate meetings and appointments, prepare agendas, track action items, and take accurate meeting minutes.
  • You’ll support the onboarding process for new staff, helping create a positive and organized start to their journey.
  • You’ll respond to internal and external inquiries with professionalism, tact, and discretion.
  • You’ll assist with general administrative tasks, including workflow coordination, initiative support, and event logistics.
  • You’ll contribute to special projects as assigned, adapting to changing priorities with ease.
  • You’ll organize and maintain filing systems, manage database entries, draft communications, and support daily office operations.

 

Skills and Qualifications

  • 3+ years of administrative or secretarial experience supporting senior leadership.
  • Post-secondary certificate, diploma, or bachelor’s degree in Office Administration or a related field.
  • Experience in the healthcare or academic sector is considered an asset.
  • Strong written and verbal communication skills, including preparing formal letters and mass communications.
  • Advanced proficiency in Microsoft Office, particularly Outlook and Word.
  • Exceptional customer service skills with outstanding attention to detail.
  • Excellent interpersonal skills, including professionalism, discretion, and sound judgment.
