Our client in the education and academic administration sector is seeking an Education Program Coordinator to support the smooth delivery of academic and training programs for postgraduate and undergraduate learners. This role is ideal for someone who thrives in a fast-paced academic setting, enjoys managing multiple priorities, and values building strong relationships with faculty, trainees, and program leaders. 

Position Details:

  • Location: Ottawa, ON 

  • Work Model: Primarily on-site

  • Schedule: Monday to Friday, 8:00 a.m. – 4:00 p.m. 

  • Duration: Full-time, permanent position

Key Responsibilities

  • Serve as the primary administrative contact for learners, faculty, and academic partners.

  • Coordinate onboarding, reappointment, and documentation for academic trainees.

  • Support committee meetings through logistics coordination, minute-taking, and documentation.

  • Maintain up-to-date licensing, privileges, and compliance documentation.

  • Develop and manage academic schedules while ensuring compliance with institutional guidelines.

  • Support academic program accreditation and reporting requirements.

  • Oversee recruitment activities, including application management, candidate communication, and interview scheduling.

  • Plan and coordinate academic events such as lectures, retreats, research days, and evaluations.

  • Manage academic assessments, evaluations, and remediation tracking.

  • Support budgeting, reporting, and expense tracking for academic activities.

  • Liaise with internal and external partners to support program operations and communications.

  • Contribute to newsletters, orientation materials, and academic communications.

Qualifications & Requirements

  • Minimum 3 years of experience in education program administration or academic coordination (undergrad or postgrad). 

  • Strong proficiency with Microsoft Office Suite and academic scheduling platforms (One45 experience is preferred).

  • Excellent organizational, communication, and time management skills.

  • Strong attention to detail and ability to manage multiple priorities effectively.

  • Professional, collaborative, and adaptable approach with strong interpersonal skills.

  • Bilingualism (English/French) is an asset.

  • Ability to occasionally attend evening or weekend events and meetings.
