Nous sommes à la recherche d’un(e) Adjoint(e) administratif(ve) qui appuiera la Coordonnatrice, soutien administratif et opérations afin d’offrir un support administratif à l’équipe de direction en plus d’assurer une coordination efficace du bureau.

L’Adjoint(e) administratif(ve) aura comme mandat de :

  • Rédiger, mettre en page, réviser et traduire des documents, lettres et présentations pour les membres de l’équipe de direction;
  • Coordonner les aspects administratifs à l’embauche et au départ des employés, incluant les suivis d’équipement et de cartes d’accès, la complétion de formulaires et la mise à jour des répertoires, listes et groupes;
  • Accompagner les gestionnaires pour assurer l’accès physique des employés au site, notamment pour la gestion des cartes d’accès avec nos partenaires externes;
  • Gérer les achats et l’inventaire des fournitures de bureau;
  • Agir comme ressource principale auprès des employés pour l’utilisation de certains équipements bureautiques et d’applications internes;
  • Gérer des boîtes courriel centralisées, ainsi que le courrier physique;
  • Participer à l’organisation des visites de clients sur site, tant sur le plan des accès que de la logistique;
  • Planifier et coordonner les réunions de certains comités;
  • Gérer et archiver des documents;
  • Veiller à la propreté des lieux incluant les bureaux, la cuisine et les salles communes;
  • Organiser et publier des pages, fichiers et documents sur intranet;
  • Coordonner la production et la publication de calendriers publics.

  • Vous êtes titulaire d’un DES.
  • Vous avez au moins deux (2) ans d'expérience pertinente dans un rôle de soutien administratif.
  • Une combinaison de formation et d'expérience pertinentes peut être envisagée.
  • Vous avez une maîtrise avancée de Word, Power Point et Outlook ainsi qu’une maîtrise intermédiaire d’Excel.
  • Vous apprenez rapidement à utiliser et à tirer profit de systèmes informatiques ou d’outils technologiques, comme les outils de traduction ou de collaboration.
  • Vous avez un niveau avancé en français et en anglais et ce, tant à l’oral qu’à l’écrit, vous permettant de rédiger des documents professionnels,  de vérifier des traductions automatisées et de communiquer avec des intervenants francophones ou anglophones.

Altis Recruitment is excited to partner with a client in the non-profit sector in Montreal to recruit for a Bilingual Administrative Assistant to join their team. This is a 6-month contract role (with the possibility of extension) and requires you to be onsite 2-days per week.

You will work closely with the Administrative Coordinator to ensure efficient office operations and support to the leadership team, including the CEO. We are looking for an eager administrator who has strong organizational skills, attention to detail, fully bilingual (English and French) with some experience supporting leadership teams and has an existing security clearance (reliability/enhanced or secret). 

What you will be doing:

  • Oversee administrative tasks related to employee onboarding and offboarding, including equipment allocation, access card management, form completion, and updates to directories, lists, and groups.
  • Collaborate with managers and external partners to ensure proper physical site access and manage employee access cards.
  • Assist in organizing on-site client visits, including coordinating logistics and access requirements.
  • Schedule and coordinate meetings for designated committees.
  • Maintain and organize document archives.
  • Oversee the upkeep and cleanliness of workspaces, kitchens, and shared areas.
  • Upload, organize, and maintain pages, files, and documents on the intranet.
  • Coordinate the creation, maintenance, and publication of public calendars.
  • Prepare, format, proofread, and translate correspondence, documents, and presentations for the leadership team.
  • Monitor and manage office supplies, including purchasing and inventory control.
  • Serve as the primary contact for employees regarding office equipment and internal systems.
  • Handle centralized email inboxes and incoming/outgoing physical mail.

What we’re looking for:

  • High school diploma
  • 2 years of administrative experience, ideally with some of this experience supporting leadership
  • Advanced proficiency in MS Office including Word, Outlook, PowerPoint and intermediate proficiency in Excel.
  • Advanced written and spoken proficiency in both French and English
  • An existing security clearance is required for this role (reliability/enhanced or secret clearance)
