Job Title: Receptionist 
Location: Downtown Toronto 
Job Type: Full-time | One year contract

Our client, a leading professional services firm in the heart of Toronto, is seeking a Receptionist / Facilities Coordinator to serve as the welcoming face of their office and a key support for day-to-day facility operations. This role is perfect for a proactive, detail-oriented individual who thrives in a dynamic, client-facing environment.

This is a fully on-site position.

Key Responsibilities

  • Welcome all visitors and manage guest sign-in procedures with professionalism and warmth.

  • Prepare and maintain meeting rooms before and after use, including setting up furniture, replenishing snacks, and general clean-up.

  • Support event logistics including catering setup and coordination.

  • Manage incoming and outgoing mail, scan finance-related documents, and arrange courier services.

  • Maintain and track temporary access badges.

  • Respond to general office inquiries and liaise with building management for services such as lighting and accessibility support.

  • Conduct daily walkthroughs to ensure office spaces are clean, well-stocked, and functioning properly.

  • Restock kitchen supplies including snacks, coffee, and paper goods throughout the day.

  • Empty and reload dishwashers; ensure kitchen areas are tidy and fully stocked.

  • Oversee copy room supplies including paper, pens, and other stationery.

  • Distribute snacks and fresh fruit to designated floors.

  • Refill the client-facing mini fridge and manage coffee machine inventory and supply orders.

  • Assist with setup for meetings and internal events as needed, including layout changes and catering logistics.

Qualifications and Requirements

  • Prior experience in administration, office coordination, or facilities management.

  • Excellent verbal and written communication skills.

  • Ability to adapt quickly, problem-solve, and manage multiple tasks in a fast-paced environment.

  • Strong sense of ownership, professionalism, and attention to detail.

  • Comfortable working independently and collaboratively with various teams.
