Provide executive-level administrative support to two Directors.
Manage complex Outlook calendars, schedule meetings, and coordinate logistics.
Prepare agendas, take minutes, and track follow-up items for director and board-related meetings.
Liaise with internal and external stakeholders, including senior leadership, board members, political figures, councillors, and other agencies.
Exercise political acuity, professionalism, and discretion when handling sensitive and confidential information.
Draft correspondence, prepare reports, and support day-to-day communications on behalf of the directors.
Prioritize and flag time-sensitive tasks, providing clear recommendations to directors.
Coordinate occasional off-site meetings across GTA locations (rarely outside Vaughan area).
Support directors with administrative requests related to HR systems (Ceridian Dayforce) such as vacation balances or timesheet checks.
Ensure compliance with organizational policies, health & safety training, and code of conduct requirements.
5+ years of experience providing executive or director-level administrative support (public sector/government experience considered an asset).
Advanced proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
Strong organizational, time-management, and multitasking skills.
Excellent verbal and written communication abilities.
High level of discretion and professionalism in handling confidential information.
Demonstrated ability to work independently and exercise sound judgment.
Comfortable engaging with diverse and complex stakeholder groups.
Valid Ontario driver’s license and access to a vehicle is an asset (willingness to travel required).
