Altis Recruitment is grateful to partner with an organization within the Broad Public Sector to support the recruitment an Executive Level Administrative Coordinator to provide high-level administrative support to two Directors. The successful candidate will be a reliable professional who can manage competing priorities, coordinate with diverse stakeholders, and act as a trusted partner to the directors.

Hours: 35/week working 8:30am - 4:30pm
Location: Fully on-site in Toronto with occasional site visits across GTA.
Contract role: Starting ASAP until October 15th, 2025. 

Key Responsibilities

  • Provide executive-level administrative support to two Directors.

  • Manage complex Outlook calendars, schedule meetings, and coordinate logistics.

  • Prepare agendas, take minutes, and track follow-up items for director and board-related meetings.

  • Liaise with internal and external stakeholders, including senior leadership, board members, political figures, councillors, and other agencies.

  • Exercise political acuity, professionalism, and discretion when handling sensitive and confidential information.

  • Draft correspondence, prepare reports, and support day-to-day communications on behalf of the directors.

  • Prioritize and flag time-sensitive tasks, providing clear recommendations to directors.

  • Coordinate occasional off-site meetings across GTA locations (rarely outside Vaughan area).

  • Support directors with administrative requests related to HR systems (Ceridian Dayforce) such as vacation balances or timesheet checks.

  • Ensure compliance with organizational policies, health & safety training, and code of conduct requirements.

Minimum Qualifications

  • 5+ years of experience providing executive or director-level administrative support (public sector/government experience considered an asset).

  • Advanced proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint, Teams).

  • Strong organizational, time-management, and multitasking skills.

  • Excellent verbal and written communication abilities.

  • High level of discretion and professionalism in handling confidential information.

  • Demonstrated ability to work independently and exercise sound judgment.

  • Comfortable engaging with diverse and complex stakeholder groups.

  • Valid Ontario driver’s license and access to a vehicle is an asset (willingness to travel required).
