Role Description
Based out of Oakridge Park, the Property Manager - 12+ Month Contract role provides support to the retail and commercial office functions. Reporting directly to the General Manager, the Property Manager is responsible for assisting with day-to-day activities for the portfolio and providing best-in-class customer service. Initially this post will be involved and assist the GM and Ops Manager with preparations for the reopening Oakridge Park and Liaising with our development teams as required.
Responsibilities
Support the General Manager with managing the building portfolio and assist with completing annual budgeted projects
Supporting GM and Ops Manager in preparing for the launch of Oakridge Park
Complete the analysis of financial statements for preparation and posting of monthly reports
Assist with the annual budget process for buildings within the portfolio
Liaise with tenants for escalated collection of accounts receivable matters and reconcile accounts
Administer lease related payments, such as tenant allowances etc.
Supervise contractors and ensure compliance for major service contracts; maintain/update contract schedule and databases
Process all cheques, invoices and related reports within JD Edwards
Process and match invoices, code invoices to comply with budget schedules, and compile/verify for submission to Regional Accounting
Perform administrative functions related to property management and analysis of leases
Tender operational contracts (landscaping/snow removal, HVAC, etc.)
Monitor and follow up on QuadReal Connect/Tenant maintenance requests to ensure overall service delivery is consistent with QuadReal standards
Maintain and update tenant information for timely collection and recording of tenant insurance certificates
Maintain tenant manuals and assist with coordination of tenant appreciation function for the buildings in the portfolio
Oversee periodic tenant surveys, ensuring distribution of survey on a timely basis and encouraging maximum participation of all tenants. Review all survey responses, analyze trends, and provide feedback on overall ratings, ensuring all tenants issues have been dealt accordingly
Type and distribute correspondence to tenants and prepare rental letters
Responsible for rent collection, cheque posting, application of money to tenant accounts, and reviewing monthly recurring billings
Liaise with tenants and provide prompt follow-up and communication for dealing with tenant matters
Monitor and track vacant unit utility accounts
Read and understand leases to ensure accurate information is received and maintained.
Read and review Lease Review Checklists and reports (LRC’S)
Maintain and update security deposit reports
Other related duties as directed by the General Manager
Experience and Qualifications
5+ years of related property management experience
Post-secondary degree in Business Administration or Property Management is considered an asset
Ability to communicate effectively and professionally, both oral and written with owners, tenants and team members
Strong time management skills with the ability to effectively manage tight deadlines and work under pressure to achieve quality results
Ability to resolve problems using facts and sound reasoning
Innovative approach with a willingness to manage and adapt to change
Intermediate skills with MS Office. Knowledge of Yardi is considered an asset
The expected annualized base salary range for this role is $100,000 - $110,000.
The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual’s skill, experience, education and training, the market compensation of the role, and the consideration to internal equity.
