Our client, a prominent professional services firm, is seeking a highly organized and proactive Bilingual Executive Administrative Assistant to provide senior-level administrative and organizational support to executives. The ideal candidate is detail-oriented, adaptable, and able to anticipate the needs of busy leaders while ensuring smooth day-to-day operations.
Roles and Responsibilities
Executive Support
Manage complex calendars, schedule meetings, and coordinate travel arrangements.
Draft, proofread, and translate correspondence, presentations, and reports in both English and French.
Prepare agendas, record minutes, and follow up on action items from meetings.
Communication & Liaison
Act as a primary point of contact between executives, clients, and internal teams.
Handle sensitive information with discretion and maintain strict confidentiality.
Coordinate bilingual communications, ensuring accuracy and professionalism.
Administrative Operations
Prepare and process expense reports, invoices, and other financial documentation.
Support document management, filing systems, and database updates.
Assist with project coordination, timelines, and deliverables.
Office & Event Coordination
Organize internal and external meetings, workshops, and client events.
Liaise with vendors and service providers as needed.
Provide general administrative support to the broader team when required.
Qualifications and Skills
Experience
3–5 years of experience in an administrative or executive assistant role, preferably in a professional services environment (legal, financial, consulting, etc.).
Language Skills
Full professional fluency in English and French (written and spoken) is required.
Strong written communication skills with attention to detail and grammar.
Technical Skills
Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom).
Comfort with document management systems and CRM software is an asset.

Discreet, professional, and client-service oriented.
Highly organized with the ability to manage multiple priorities.
Strong interpersonal skills and the ability to work with senior leaders.
Proactive, resourceful, and solution-focused.
Education
Post-secondary diploma or degree in business administration or related field.
