Our client in the public sector is seeking a Records Management Administrator for a short-term project. This role is focused on supporting two key initiatives:

  1. Migrating case records from a legacy database into a new system (Microsoft Dynamics 365).

  2. Conducting a departmental audit of files by creating clear timelines and summaries of case history from multiple information sources.

This role is well-suited for someone with strong administrative skills, attention to detail, and experience working with case management systems or document management platforms such as SharePoint.

Position Details

  • Location & Work Model: Toronto, ON – hybrid 

  • Pay Rate: $23.00/h

  • Schedule/Hours: 35 hours per week, Monday to Friday 8:00 AM to 4:00 PM

  • Contract Duration: 2 months, with possibility of extension

Key Responsibilities

  • Support migration of approximately 600 case files from a legacy system scheduled to be decommissioned.

  • Manually transfer and enter case information into the new system with accuracy and attention to detail.

  • Review case files from multiple sources (databases, SharePoint, supporting records) and consolidate into clear, structured document packages.

  • Prepare case timelines and summaries to provide investigators and managers with quick insights into file history.

  • Ensure records are compliant with departmental standards for organization, naming, and accessibility.

  • Provide regular updates on progress, flagging missing or unclear information as needed.

  • Maintain confidentiality and handle sensitive case information appropriately.

Requirements

  • Strong administrative background with experience handling high volumes of data.

  • Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new programs.

  • Previous experience with SharePoint or similar electronic document management systems.

  • Familiarity with case management systems (Dynamics 365 is an asset, but open to transferable systems).

  • Strong attention to detail, accuracy, and organizational skills.

  • Ability to synthesize information quickly into summaries and timelines.

  • Comfortable working independently under deadlines.

  • HR experience or exposure to human rights/case management environments is an asset.
