Our client in the public services sector is hiring for a Client Representative Assistant. This role supports a team working with vulnerable individuals who require financial management assistance. The successful candidate will handle administrative tasks such as reconciliations, invoice processing, and extended healthcare claims, while also providing front desk and phone support.
Location & Work Model: On-site, downtown Hamilton
Schedule/Hours: Monday to Friday, 9 AM to 5 PM
Contract Duration: 2 months with possibility of extension
Provide administrative support and manage financial affairs of vulnerable individuals
Respond to client and stakeholder inquiries and coordinate with caregivers, legal/health professionals, and service providers
Process and reconcile invoices, disburse payments (e.g. rent, utilities), and monitor account activity
Review client files, track assets, and ensure accurate documentation in internal systems
Clarify procedures and policies to clients or third parties as needed
Support front desk and phone coverage
Prioritize daily tasks and assist in resolving client concerns or financial discrepancies
Strong administrative and customer service experience in an office setting
Experience in financial services or banking is preferred
Comfort with financial concepts such as debits, credits, and invoice reconciliation
Excellent oral and written communication skills to interact with clients, family members, and professionals across sectors
Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable navigating internal databases
Ability to handle sensitive situations with empathy and professionalism
