As the first point of contact, the Receptionist is a highly visible role. It is therefore essential for them to have strong verbal and written communication skills. A professional image and good behavior are required for this front-line position. The successful candidate is well organized and has excellent time management skills, as well as a solid knowledge of Bank-related IT systems.

 

 

Is this role right for you? In this role you will:

 

•Serve all customers (including telephone calls) and respond to their needs or redirect them to the appropriate person, to ensure a response within a reasonable time.

•Receive, sort and prioritize mail, taking into account action items and due dates, to ensure timely responses and action taken.

•Perform daily mailroom tasks and ensure all documents or deliveries reach our internal employees correctly.

•Accept packages and arrange courier service to ensure timely distribution of packages and documents.

•Manage the receipt and processing of shipments and deliveries from head office.

•Coordinate meeting rooms and conference calls ensuring action items and deliverables are discussed.

•Coordinate all internal communications for staff, including updating internal documents, including telephone lists.

•Organize and maintain various filing systems to track and store data and documentation and enable easy retrieval of information.

•Manage the inventory of office equipment and supplies well and ensure that orders are placed on time.

•Distribute office equipment and supplies and ensure all storage areas are properly stocked.

•Participate in activities related to security and keyholder responsibilities, including producing access cards and opening and closing the office and cooperating with building security.

•Pay invoices through our IT billing system

•Take care of catering and business dinners, as needed.

•Organize special events, as needed.

•Communicate with office equipment suppliers to ensure equipment maintenance, as needed; including the supplier of the coffee machine.

•Participate in special projects and other administrative functions, as required.

Working Conditions

• Work in a standard office-based environment.

• Monday to Friday from 8:30 a.m. to 5 p.m

 

 

Pursuant to a language needs assessment conducted by Scotiabank, the successful candidate will be required to be able to communicate in English and French as they will be required to work closely with other groups from head office who operate primarily in English, and they will serve and English-speaking clientele
