We are currently seeking a proactive and detail-oriented Clerical/Administrative Assistant to support one of our professional services clients in West Ottawa. This is an immediate, full-time onsite opportunity on a 3-month contract (with the possibility of extension). The ideal candidate will bring strong organizational skills, a customer-service mindset, and the ability to manage multiple administrative duties in a fast-paced environment.
Provide day-to-day administrative support to ensure smooth office operations.
Book and prepare meeting rooms, ensuring materials, equipment, and setups are ready in advance.
Maintain cleanliness and organization in shared spaces such as meeting rooms, kitchen areas, and workstations.
Support reception duties as needed, including greeting visitors and handling general inquiries.
Prepare and coordinate outgoing mail and courier shipments.
Assist with printing, photocopying, scanning, and assembling documents.
Monitor office supplies and coordinate restocking as needed.
Organize and maintain accurate digital and physical filing systems while ensuring confidentiality.
Draft, edit, and format documents and professional correspondence.
Coordinate with property or facilities management for maintenance and service requests.
Distribute internal documents, mail, and packages across the office.
Provide additional administrative support and assist with special projects as assigned.
1–2 years of clerical or administrative experience in an office environment.
Experience in a professional services environment is an asset, but not required.
Excellent organizational skills and strong attention to detail.
Clear and professional verbal and written communication skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PDF tools).
Demonstrated ability to handle sensitive information with discretion.
Professional, client-service-oriented demeanor.
Able to work independently and as part of a collaborative team.
English fluency required; additional language skills considered an asset.
