Salary: 32.43 per Hour
 
Our client in the non-profit space is seeking an Administrative Assistant to join its Legal Services team in downtown Toronto. This is a temporary full-time position from August 5 to October 17, 2025, with the possibility of extension. This role offers a unique opportunity to contribute to meaningful work in the non-profit sector while gaining experience in a legal and a social services services environment.

Responsibilities:

  • Respond to phone and email inquiries; manage routine client and staff communications.
  • Prepare, type, and process legal documents, forms, and correspondence.
  • Maintain and update electronic records in CPIN; scan and upload documents.
  • Handle incoming/outgoing mail, filing, photocopying, and document organization.
  • Support legal staff with court scheduling, deadlines, and case materials.
  • Take meeting minutes and participate in team meetings.
  • Process payments, witness fees, and financial requisitions.
  • Ensure confidentiality and compliance with organizational policies.
  • Act as a backup for other administrative roles as needed.
  • Perform other administrative duties and ensure safe workplace practices.

 

Qualifications:

  • Proficiency with Microsoft Word, Excel, Access, Adobe, AS400, CPIN, and other document management systems.
  • Strong ability to work independently, prioritize tasks, and meet deadlines.
  • Patient, client-centered approach to working with a diverse population.
  • Team-oriented mindset with the ability to collaborate effectively with administrative, legal, and specialty staff.
  • Strong telephone etiquette and professional communication skills.
  • Ability to manage internal and external work pressures.
  • High level of organizational flexibility, responsiveness to change, and problem-solving capability.
  • Skilled in multitasking and managing frequent interruptions.
  • Experience in a legal organization or setting is highly desirable and considered a significant asset.
  • Proficiency in a second language is an advantage.
