Job Title: Proposal Manager

Our established construction client is seeking a strategic and detail-driven Proposal Manager to join their team in Toronto. This role is responsible to lead the end-to-end development of high-quality proposal submissions in response to RFPs, RFQs, and other formal solicitations.

Responsibilities:

• Lead the proposal development process from intake and kickoff through submission, ensuring alignment with client expectations and internal objectives.
• Collaborate with cross-functional teams to define win strategies, collect input, and shape proposal content.
• Draft, revise, and polish proposal sections, ensuring accuracy, consistency, and adherence to RFP/RFQ requirements.
• Develop and refine reusable content such as templates, staff bios, project profiles, and boilerplate sections.
• Establish proposal timelines, delegate tasks, and manage progress to ensure deadlines are met.
• Oversee visual design and layout, coordinating with graphic designers to enhance readability and branding.
• Conduct final reviews for grammar, formatting, and compliance prior to submission.
• Support post-submission activities including interview prep materials, response debriefs, and continuous improvement efforts.
• Maintain a content library and ensure regularly updated materials (e.g., CVs, project write-ups, firm overviews).
• Track proposal activity and outcomes within the company’s CRM system, contributing to pipeline visibility and business development insights.

Qualifications:

• 5+ years of experience in proposal writing and coordination, preferably in construction, architecture, engineering, or real estate.
• Exceptional writing, editing, and proofreading skills with strong attention to detail.
• Proven ability to manage multiple deadlines and coordinate cross-functional teams in a fast-paced environment.
• Solid understanding of RFP/RFQ processes and persuasive proposal development best practices.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe InDesign; experience with CRM tools like Salesforce.
• Post-secondary education in Communications, Marketing, English, or a related field is preferred.
