Tasks
  • Coordinating Documentation and Communication
    Support the creation and organization of official communications, including reports, statements, and briefing packages. Track and manage both incoming and outgoing correspondence to ensure timely and accurate distribution.
  • Overseeing Office Resources and Logistics
    Maintain an adequate inventory of office supplies and ensure equipment is functional and serviced as needed. Coordinate setup of phones, email access, and necessary tools for new team members to support smooth onboarding.
  • Managing Records and Scheduling
    Keep administrative records up to date by managing databases, spreadsheets, and inventory logs. Update calendars and schedules to reflect changes in meetings and appointments accurately.
  • Delivering Client and Public Service
    Respond to public inquiries professionally and use digital reference tools to research and address client concerns efficiently.
  • Processing Submissions and Coordinating Deliveries
    Handle the intake and processing of applications and forms. Prepare courier documentation and manage the timely dispatch and receipt of couriered materials.

Experience & Qualifications
  • 1 year of experience within the past 3 years as an administrative assistant, executive assistant, or a related role with the federal government. 
  • Secondary school diploma or an acceptable combination of education, training and relevant work experience.
  • Bilingual (French/English) essential
  • Reliability security clearance required
