Position Overview

The Document Coordinator is responsible for project document coordination for selected projects and proposals, including editing, desktop publishing, and quality control. Other responsibilities include the functions associated with the data centre and library.

Responsibilities

  • Edit, desktop publish, and proof documents to meet contractual requirements and internal standards.
  • Provide a focal point for document information on assigned projects and proposals.
  • Record and file documents in the Document Management System for release.
  • Deliver documents electronically to customers using the Calian File Share and/or a customer-provided system and maintain data management records.
  • Perform general duties for the Data Centre including maintaining printers, coordinating secure shredding bins, ordering supplies, and printing/scanning.
  • Perform general duties of the library including ordering books/standards, renewing subscriptions, and maintaining the library database.
  • Weekly timesheets reports for the Engineering team.
  • Pulling monthly utilization reports for the office.
  • Create and Modify overlays for the hardware group.
  • Other duties as required within the context of the role.

Qualifications

  • Bachelor’s degree in Arts, Communications, Journalism, or equivalent; or graduation from a recognized career college with two years document coordination experience.
  • Experience:
  • Minimum of four years of editing, writing, or scheduling document production (or equivalent combination).
  • Strong analytical abilities, a demonstrated ability to successfully organize a diverse workload, and the ability to make suggestions and decisions.
  • Extensive experience with a variety of Microsoft and Adobe software applications, with the ability to work with the advanced features.
  • Experience working in a technical environment.
  • A clear sense of urgency to achieve results. A “can-do”, “let’s make it happen” attitude and a focus on a positive customer experience.
  • Excellent written and oral communication skills, with experience communicating effectively and collaboratively with internal and external stakeholders at all levels within the organization.
  • Exceptional attention to detail and committed to a high degree of accuracy. Must be able to gather, prioritize and analyze information skillfully.
  • Strong multi-tasking and prioritization skills with a demonstrated ability to perform efficiently in a fast-paced environment with continued attention to detail.
  • Highly developed sense of tact, discretion, and judgement in dealing with confidential, sensitive and/or delicate matters.
  • Initiative-oriented, and able to work independently with all levels of management to help them achieve their business goals.
  • The ability to think strategically and assist in developing strategic solutions and approaches.

Additional Requirements

  • Must be comfortable with an onsite role that primarily involves desk-based computer work.
  • Should be prepared for occasional evening and/or weekend work to meet project deadlines and collaborate with team members.
