Our client in the healthcare sector is hiring a Senior Medical Administrative Assistant to join their executive operations team. This individual will be responsible for providing high-level administrative support to senior leadership, including managing schedules, coordinating key meetings, and handling confidential information. The role requires professionalism, excellent organizational skills, and comfort working in a dynamic and fast-paced environment.
Location: Fully onsite in Toronto, ON
Schedule: Full-time, Monday to Friday
Contract duration: 3 months
Deliver day-to-day administrative support to EVP
Organize and maintain executive calendars, coordinate meetings and appointments with internal stakeholders and external partners
Draft, edit, and manage correspondence and documentation on behalf of leadership
Facilitate paperwork and processes for onboarding and reappointments of professional staff
Plan and coordinate meetings for executive committees and advisory groups, including agendas, logistics, and follow-ups
Support administrative needs for organizational events and professional staff groups
Liaise with other departments and administrative units to streamline communication and documentation
Assist in processing invoices, expense reports, and internal approvals
Maintain confidentiality and professionalism while handling sensitive information
Take on additional administrative duties as required
Diploma or certificate in office administration, business, or related field
Minimum 3 years of progressive experience in an executive administrative role
Background in a healthcare, academic, or regulated environment
Excellent time management and multitasking abilities
High level of discretion and sound judgment
Strong interpersonal skills with the ability to engage with a wide range of stakeholders
Comfort working with limited supervision in a fast-changing setting
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Reliable, professional, and detail-oriented with a solid track record of performance
