Our client in the public sector is hiring for a Senior Administrative Assistant to support a technical and fast-paced department. This role provides high-level administrative support to the Head of Department and involves managing calendars, coordinating logistics, handling contract invoicing, tracking timesheets, and supporting internal communications and office operations. It's a great opportunity for someone organized, tech-savvy, and adaptable who enjoys managing details and contributing to a collaborative team environment.
Location: Downtown Toronto (Hybrid – approx. 2 days/week on-site; Tuesday is the anchor day)
Schedule/hours: Monday to Friday, 8:00 AM – 4:00 PM
Contract duration: 6 months with possibility of extension
Provide administrative support to the Head of Department and assist a team of 15 staff members
Manage and coordinate department calendars, meetings, and event logistics
Coordinate internal and external meetings, and support special projects
Track and process department invoices, timesheets, and contract-related records
Assist in procurement-related tasks, monitor credit card use, and maintain digital filing systems
Prepare departmental communications, documents, reports, and presentations
Liaise with internal departments (e.g., IT, procurement, finance) and external vendors/agencies
Maintain access to external portals or platforms used for booking and reporting
Support the onboarding of new and contract staff
Contribute to improving office processes, systems, and documentation
5–10 years of experience in administrative support roles in the public or government sector
Strong communication skills and the ability to work effectively with technical teams
Proficiency with Microsoft Office Suite – especially Outlook, Excel, and Word
Comfortable using Teams, Zoom, Office 365 tools, and booking/scheduling software
Strong organizational and time-management skills; ability to triage tasks and prioritize
Familiarity with timesheet tracking and invoice management
Experience supporting logistics for internal office moves or similar projects is an asset
Previous experience working with databases, digital filing systems, or vendor portals preferred
Must be flexible, agile, and quick to adapt to changes or shifting priorities
A post-secondary diploma or degree in Business or Office Administration (or equivalent)
