Altis Recruitment is grateful to partner with our client to support with the recruitment of a Portfolio Administrative Assistant. This is a 6-month contract with possibility of extension based in Ottawa. The successful candidate will provide critical support in overseeing the day-to-day administrative functions of a diverse portfolio of residential and commercial properties. 

Work Type: Fully On-Site

Responsibilities

  • Maintain and update leasing records and data in property management systems.
  • Prepare, review, and process lease documents for execution.
  • Issue rental increases and tenant notices in accordance with regulations and timelines.
  • Support vendor management by overseeing purchase orders, verifying invoices, and assisting with accounts payable processes.
  • Assist with accounts receivable functions, including verifying monthly charges and supporting rent collection efforts.
  • Draft and distribute tenant communications, notices, and statements in compliance with relevant legislation.
  • Coordinate with tenants, contractors, and building operators to address repair requests and service needs.
  • Provide general administrative support to the property management team.
  • Perform additional tasks as required to support property operations.

Qualifications

  • Administrative support experience in property management industry, preferably with exposure to both residential and commercial operations.
  • Familiarity with property management software (Yardi Voyager experience is an asset).
  • Proficiency in Microsoft Office, especially Excel, Outlook, and Word.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication abilities.
  • Keen attention to detail and a commitment to producing accurate, high-quality work.
