Hybrid work model: 3 days onsite, 2 days remote (with flexibility for additional onsite presence if needed)
Hours: 8:30 a.m. – 5:00 p.m., Monday to Friday (7.5-hour workday with a 1-hour unpaid lunch)
Location: Waterfront
Duration: 3-6 months with possible extension or permanent 

Our client is seeking a proactive and highly organized Administrative Assistant to provide dedicated support to a Senior Vice President and members of the C-Suite. This is a dynamic, fast-paced opportunity ideal for a detail-oriented professional who excels in a high-demand environment and enjoys being at the heart of organizational operations.

Key Responsibilities

  • Provide executive-level administrative support to a Senior VP and C-suite leadership

  • Manage complex calendars, coordinate meetings, resolve scheduling conflicts, and organize appointments across teams

  • Prepare and submit expense reports for the department

  • Coordinate departmental logistics such as room bookings, meeting setup, and internal communications

  • Liaise with internal departments and external stakeholders as required

  • Perform general office administrative tasks as needed

Qualifications

  • 3–5 years of administrative experience, ideally supporting senior or executive leadership

  • Experience in the public sector, Crown corporations, or government (federal, provincial, or municipal) strongly preferred

  • Strong calendar management and scheduling abilities

  • Excellent written and verbal communication skills

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Professional, discreet, and reliable
