Our client working in the Non Profit sector is seeking a Corporate Services Clerk to join their team on a contract basis. This is an exciting opportunity for someone who enjoys a varied role and thrives in a collaborative, service-oriented environment. This position is starting on an 11 week contract with the potential to extend.
The Corporate Services Clerk plays a key role in supporting daily operations across the organization’s corporate office and conference center. This includes a blend of administrative, facilities, and client service tasks to ensure meetings, mail services, and internal logistics run smoothly. The role involves rotation across three core areas—Mail and Distribution, Fax and Scanning, and General Corporate Services—with additional responsibilities related to event and meeting support.
Sort and distribute incoming mail and packages
Prepare and send outgoing mail and courier shipments
Operate mailroom equipment
Lift and move boxes of paper (up to 24–25 lbs.)
Manage incoming/outgoing faxes using e-fax and Outlook
Scan, label, and route documents using scanning equipment (Co-Fax)
Handle sensitive legal and medical documents confidentially
Greet and assist visitors and clients at the DLC Conference Centre reception
Manage conference room bookings, updates, and inquiries using the internal booking system
Ensure meeting spaces are clean, set up, and ready with required furniture and AV equipment
Coordinate repairs and maintenance of meeting rooms as needed
Liaise with internal and external clients to confirm meeting requirements (AV, catering, setup, etc.)
Provide first-level support for in-house AV equipment
Coordinate and submit catering requests through CaterTrax, ensuring accuracy and last-minute adjustments as needed
Work closely with catering and facility staff to support event needs
Assemble and distribute new member packages and provide general administrative support
Act as the main point of contact for parking inquiries and mediate concerns related to tickets
Report on monthly electric vehicle (EV) parking usage
Education: High school diploma required; post-secondary in office administration is an asset
Technical Skills: Proficiency with Microsoft Office; ability to learn software such as Documentum, Co-Fax, CaterTrax, and meeting room booking systems
Communication: Strong verbal and written communication skills; ability to liaise with various stakeholders. French would be considered a strong asset.
Customer Service: Friendly, professional, and solution-oriented when working with clients and team members
Organization: Detail-oriented with strong time management and multitasking skills
Physical Requirement: Able to lift up to 25 lbs.
