The role we are offering you:

The Tradeshows, Events & Sponsorships Specialist is responsible for planning, organizing, and executing on CAE’s tradeshows, events, sponsorships and memberships worldwide with the objective of delivering an exceptional stakeholder experience, amazing onsite brand experience in accordance with CAE’s business unit brand strategy and flawless operational execution. 

  • Help create and manage the annual CAE Events and Sponsorships calendar that aligns with the overall marketing strategy.
  • Undertake detailed planning in support of all aspects of events management from pre-event planning and post-event evaluation
  • Plan and coordinate all the different steps required to bring successful events to life, from negotiating contracts with organizers, managing and tracking budgets and expenses, managing event’s logistics, managing schedule/agenda, including customer meetings, manage invitations, registrations and follow-ups, coordinate and building executive briefings (show books) and be responsible for the promo items strategy.  
  • Liaise with CAE’s corporate tradeshow team and external partners during the event planning process to ensure all aspects of event management run smoothly
  • Manage and build the quarterly Sponsorship & Donations report for the Civil division (worldwide).
  • Travel internationally to support major tradeshows and conferences, and customer events (approximately 25% of the time on an annual basis) – from 4 to 7 days per event, once or twice a month.
  • Support the Marketing Communications function in strategies for brand positioning, creative campaigns, product launch, advertising and promotion, virtual and on-site events, marketing programs and special plans.
  • Analyze and report on ROI of above events and optimize event strategy.
  • Build and manage strong relationships with internal customers and vendors including event’s organizers and suppliers, creative agency, media outlets.
  • Establish and maintain relationships with key vendors, suppliers, and service providers, including booth contractors, event technology partners, and promotional material providers
  • Manage event budgets, ensuring cost-effective spending and adherence to financial guidelines.
  • Actively manage the events budget under your purview and closely track spend, PO placements, vendor payments to ensure you manage the events within budget.
  • Work closely with a wide variety of stakeholders including the Marketing team, Business Unit Leadership Teams, Business Development, Sales, Product Management, Corporate Communications and Brand teams to ensure alignment and buy-in on overall event and sponsorship messaging, delivery, brand and customer experience.
  • Review and improve event management processes, incorporating best practices and the latest industry trends

Our ideal candidate has:

  • Bachelor's degree in marketing, event management, business, or a related field. 
  • 3-5 years of experience in event coordination, trade show management, or related fields. 
  • Proven track record in managing large-scale events and trade shows, preferably in a B2B environment. 
  • Strong Communication Skills: Ability to effectively communicate with internal teams, vendors, and clients. 
  • Organizational Abilities: Excellent planning and organizational skills to manage multiple events simultaneously. 
  • Vendor Management: Experience in negotiating and managing relationships with vendors and suppliers. 
  • Budget Management: Proficiency in managing event budgets and tracking expenses. 
  • Cross-Functional Collaboration: Ability to work collaboratively with various departments such as Sales, Marketing, and Product Management. 
  • Problem-Solving Skills: Ability to handle unexpected issues and find solutions quickly. 
  • Attention to Detail: Ensuring all aspects of the event are meticulously planned and executed.
