We are a dynamic organization committed to excellence in site services and project management. We are looking for a dedicated and detail-oriented Site Services Administrator to join our team. This role is crucial in ensuring the smooth operation of our site support, managing projects, and assisting with various administrative tasks in our department. That’s why we need your expertise and passion to complete our team!

The role we are offering you:

Department Administrative Coordination:

  • Monitor a shared support inbox, categorize emails, and ensure timely follow-up.
  • File emails according to category and ensure quote and invoice approval requests are addressed.
  • Provide direct support to the Site Services Manager on administrative tasks as needed.

Jira Task Management:

  • Create and manage Jira tickets by monitoring progress, adding necessary documentation, and ensuring tickets move through workflows.
  • Coordinate with contractors, finance, and other stakeholders to ensure project completion.

Project Support:

  • Assist with preparing monthly lookaheads and project status update reporting.
  • Support Project Managers with administrative tasks and smaller project handovers.

Meeting Coordination:

  • Prepare for and attend recurring meetings with subcontractors and internal teams.
  • Take and correctly file meeting minutes and ensure action items are followed up.

General Administration:

  • Save and organize quotes, invoices, and operational reports.
  • Update documents, track invoice approvals, and maintain OneDrive folders.
  • Provide coverage for team members when out of office.

Our ideal candidate has:

  • Experience in administrative support or a related field.
  • Strong organizational and multitasking skills.
  • Advanced proficiency in Jira, MS Teams, MS Office, and project management tools.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
