Salary: From 25 to 30 per Hour
 

Position Title: Project Assistant/Coordinator
Reports To: Senior Manager, Pharmaceutical Reviews
Pay rates: $25-30/HR
Duration: 6 months contract to permanent
Location:
Ottawa, hybrid work with 2 days a week on-site


Primary Focus

The Project Coordinator supports the planning, coordination, and tracking of projects to ensure timely delivery of key milestones and objectives within scope and deadlines.

Key Responsibilities

Project Coordination

  • Develop and maintain schedules and milestones for smaller projects with the Project Management Office (PMO).
  • Support project managers and review teams to ensure timely delivery of project documents.
  • Monitor and track pending submissions for completeness and compliance with guidelines.
  • Schedule and coordinate meetings, follow up with stakeholders to ensure timely deliverables.
  • Ensure accurate data entry and formatting of technical documents in line with document management and security protocols.
  • Coordinate external resources, including experts and contractors, as needed.
  • Provide backup support to other project coordinators in the PMO.

Reporting and Documentation

  • Assist the PMO in preparing reports on project status, resource capacity, budgets, and other metrics.
  • Distribute project materials to internal and external stakeholders, including final reports and publishing coordination.
  • Perform project closeout tasks and maintain updated schedules.
  • Support internal committees and working groups by preparing, finalizing, and posting meeting briefs and documents.
  • Document and maintain project coordination processes, suggest improvements, and support implementation of new workflows.

Qualifications and Skills

Required:

  • College diploma in business or related field.
  • 2+ years of project coordination experience.
  • Strong proficiency in Microsoft Project, SharePoint, Word, Outlook, Excel, and PowerPoint.
  • Knowledge of project management principles and best practices.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and ability to handle multiple priorities.
  • Proactive problem-solving skills.
  • Professional communication and interpersonal skills.
  • Ability to handle confidential information with discretion.

Assets:

  • Fluency in French.
  • CAPM certification or in progress.
  • Project management coursework.
  • Experience in not-for-profit or health research environments.
