Our non-profit client is seeking a Senior Administrative Assistant for a 2-month contract, with the strong possibility of extension. The ideal candidate will be a proactive and highly organized professional, experienced in managing calendars, correspondence, and supporting multiple senior leaders. This role requires strong multitasking skills, attention to detail, and the ability to maintain confidentiality while handling sensitive information.

This is a hybrid position (2 days on-site, 3 days work from home) in Ottawa, ON. 

Responsibilities:
  • Coordinate daily activities and schedules for the VP, including meetings, correspondence, and calendar management
  • Organize and maintain filing systems.
  • Support projects and initiatives by assisting in planning, implementation, and follow-up.
  • Develop and manage tracking tools to ensure deadlines and milestones are met.
  • Coordinate travel, accommodation, and expense claims.
  • Assist with creating purchase orders, drafting agendas, and distributing documents.
  • Coordinate logistics for meetings and retreats including venue bookings, equipment, catering, and accommodations.
  • Perform other related administrative duties and special projects as assigned.
Qualifications:
  • 3-5 years’ experience in a  administrative support role.
  • College diploma or equivalent work experience in administration or a related field.
  • Proficient in Microsoft Office Suite.
  • High level of initiative, discretion, and professionalism with strong problem-solving abilities.
  • Bilingualism in both English & French is considered an asset.
