The Executive Council Office (ECO) provides central leadership to achieve government priorities and support for executive leadership. It supports the Premier, Executive Council (Cabinet) and its Committees in decision-making and strategic priority setting by providing policy, legal, communications, and labour relations advice.

About Our Opportunity

 

The Cabinet Committee Coordinator is an essential role within ECO and is responsible for leading and coordinating a broad range of activities and functions that support the efficient and effective operation of the Executive Council and its Committees.

Working as part of a team, the successful incumbent will be accountable to ensure all logistical matters associated with meetings of the Executive Council and its Committees are organized in a timely manner and decisions are properly documented and communicated.

The successful candidate will thrive on working in a fast-paced and dynamic environment, possessing the ability to prioritize and problem-solve under tight timelines.

Primary Accountabilities

 

Independently review submissions to the Executive Council for adherence to ECO standards. This examination requires thorough knowledge and understanding of the different types of submissions that are considered by the Executive Council and its Committees.
 

Coordinate all logistical and technical requirements to ensure the efficient management of Executive Council and Committee meetings. This includes liaising with Minister and Deputy Minister offices to confirm Ministers’ attendance at meetings, preparation and compilation of all necessary meeting materials for advance distribution to Ministers and Senior Officials.

 

Ensure all decisions of the Executive Council and its Committees are properly documented, communicated and released, which includes drafting official documents such as Orders in Council and Minute Letters.

 

Maintain electronic databases for submissions to the Executive Council and the public-facing Orders in Council website, ensuring that submissions and decisions of the Executive Council and its Committees are recorded accurately.

 

Play a key role in the preparation of highly confidential documents associated with key government transitions such as the swearing in of a new government.

Qualifications and Experience

 

The successful candidate will be/possess:
 

  • A graduate of a post-secondary program in secretarial, business administration, or paralegal studies, plus a minimum of four (4) years of related experience in a senior administrative role. An equivalent combination of training and experience may be considered.
  • A self-motivated individual who naturally leads, inspires, and takes initiative to ensure team success.
  • Demonstrated ability to work independently with minimal supervision, analyze situations thoroughly and solve problems independently.
  • A high degree of professionalism, tact and diplomacy and proven experience in exercising discretion and confidentiality.
  • Strong time management skills with an ability to prioritize under tight deadlines.
  • Evidence of strong communication skills (both verbal and written), organizational skills and sound judgement. Proficiency with MS Office Suite (Word, Excel, PowerPoint) and web-based applications (such as SharePoint) are required.
  • Experience using FileNet is considered an asset.

 

Leadership competencies required for this position include: Attention to Detail, Analytical Thinking, Adaptability and Flexibility and Teamwork and Collaboration.

Equivalency


Equivalencies may include, but are not limited to:
 

  • Several years of experience in an administrative field.

Working Conditions

 

Typical operating hours of the office are within 8:30 am to 5:00 pm, in-office Monday to Friday, however occasional pressures may require work outside typical hours.
