As the Ministry of Forestry and Parks, we are responsible for growing Alberta’s environmentally responsible wood products and forestry sector. We protect Alberta’s forests from wildfire and preserve our provincial parks for the recreation and enjoyment of Albertans. As well as enabling access to public lands for recreational and commercial purposes while prioritizing conservation. Forestry and Parks also manages public lands and balances sustainable rangelands and grazing leases for Alberta producers.

Role Responsibilities

 

As the Executive Assistant, you are essential to ensuring management and organization of the Assistant Deputy Minister’s Office (ADMO) schedule and provide high-level executive support by being responsible for the successful day to day administrative workflow of the office.
 

 

Your main responsibilities will include:

  • Managing administrative operations within an executive office. This support will ensure effective and efficient operation of the office, including coordinating information flow and schedules to ensure issues are addressed in a timely manner. 
  • Draft or review correspondence for accuracy, grammar and proper formatting.
  • Act as a liaison to ensure accurate and timely information is provided to the executive office within changing timelines and with the ability to adapt, prioritize, and coordinate those activities. 
  • Initiate, assign, monitor, and track ARs for the Division on a timely basis to the appropriate branch (or branches) in the division, and ensuring the completion of the AR process.
  • Build and maintain strong supportive relationships with internal GoA stakeholders and external contacts. 
  • Assists in managing information routed through the office of the Assistant Deputy Minister in an effective and efficient matter
  • Assists in financial aspects for the office of the ADM in accordance with established legislation, regulations, policies, and directives
  • Support the assigned area with general administrative functions such as FOIP requests, human resource management issues and ensuring IT needs are met.

 
 
To be successful in an Executive Support role, you will be required to demonstrate:

  • A high-level of initiative, independent action and thought.
  • Excellent verbal and written communication skills, including the ability to communicate effectively with offices of government executives and key stakeholders.
  • Public relations skills – professionalism, relationship building, and diplomacy.
  • The ability to multitask and organize conflicting priorities with competing deadlines.
  • Sound judgment and discretion – particularly as it relates to sensitive information. 
  • Excellent organizational skills and a keen eye for detail.
  • Experience in identifying and setting priorities.
  • Excellent coordination, planning, and prioritization skills to ensure critical operational tasks are completed efficiently and accurately.
  • Troubleshooting skills that will enable you to solve issues as they arise.

Qualifications

 

This position is Temporary

 

High School Diploma and four years progressively responsible related experience; or equivalent as described below.
 

 

Equivalency - Directly related education or experience considered on the basis of:
•    1 years of education for 1 year of experience; or
•    1 year of experience for 1 year education

 

Requirements:

  • Previous experience providing support to C-suite executives in a large/complex organization.

 

 

Assets:

  • Experience with government platforms including ARTS, 1Gx, WPS, ect.
  • Experience with overall coordination of calendars and scheduling of senior executives 
  • Experience with routing, reviewing and organizing a large volume of briefing notes and action requests.
  • Experience with Microsoft Office Suite; Word (editing and formatting), Outlook (scheduling meetings), Power Point (presentation development), Excel (data entry)
  • Experience with records management
  • Experience Managing Freedom of Information and Protection of Privacy (FOIP)
