Key Requirements:
This role supports internal clients by providing reception services and assisting with general administrative tasks as needed. The ideal candidate is self-driven and demonstrates strong organizational, time management, and communication abilities.
Responsibilities:
Answer and direct incoming calls
Greet and register visitors
Provide basic information to employees and guests
Execute office opening and closing procedures (e.g., lights, doors)
Handle incoming and outgoing mail and messages, including faxes
Manage conference rooms, including catering coordination when required
Maintain the reception and waiting area
Support daily office operations
Coordinate with the operations manager on facility-related issues and place service calls as necessary
Process vendor invoices
Prepare and send standard and customized correspondence, mailings, labels, and document packages
Perform other administrative tasks to support team goals
Education and Experience:
1–2 years of experience in office services
High school diploma required; post-secondary education is an asset
Technical Skills:
Proficiency with Google Suite – Required
Proficiency with Microsoft Office 365 – Required
Other Skills:
Bilingual in English and French
Strong verbal and written communication skills
Customer-focused with excellent interpersonal skills
Effective team communication and active listening skills
Strong judgment and problem-solving capabilities
Flexible, adaptable, and able to work under tight deadlines
Capable of reprioritizing tasks based on changing needs
Comfortable with technology and intermediate software functions; committed to continuous learning
Able to build and maintain positive relationships with both internal teams and external contacts
