Executive Correspondence Unit 
 

The Executive Correspondence Unit (ECU) is responsible for ensuring that correspondence and other materials meet writing criteria established by the ministry and that email and other inquiries are responded to in a timely and consistent manner.

Role Responsibilities

Reporting to the manager of the ECU, the main responsibility of this position is to review incoming requests, conduct research by reaching out to ministry divisions or other ministries (for input if required), and work with a team to route the inquiries, monitor activities and timelines, and ensure the DMO receives responses in a timely way. A second but also high-priority responsibility of the position is to provide leadership to the unit's administrative staff, including serving as an option for escalation of issues from the Minister's Office. 


This position works with the ECU and DMO teams and colleagues within the department, as well as with contacts across all ministries, to ensure the most effective flow of information back to Albertans.

As Team Lead, ECU, Issues Coordinator, you will be responsible for, but not limited to, the following activities within the DMO:
 

  1. Oversee the incoming requests/assignments to the ECU shared mailbox account.
  2. Provide the manager with accurate and timely information on highly sensitive issues or trends.
  3. Work with Ministers’ and Deputy Ministers’ offices, and divisional ARTS leads on extensions or other changes to action requests.
  4. Supervise and lead the Correspondence Specialist team to provide guidance and ensure tasks are completed.

In this role, you will contribute to our team by demonstrating the following behavioral competencies:
 

  • Systems Thinking: Flags emerging trends and issues and develops correspondence in accordance with the priorities of the Minister's Office and Deputy Minister's Office. Prioritizes requests according to the needs of the Minister's Office and Deputy Minister's Office.
     
  • Agility: Works with team members to implement process and procedure improvements. Along with the manager, leads short- and long-term planning for the unit. Oversees special projects.
     
  • Develop Networks: Provides mentorship to other team members. Works closely with staff in the Minister's Office, Deputy Minister's Office, Assistant Deputy Ministers’ Offices and acts as a liaison between unit staff and Minister's Office staff. Develops strong working relationships with program contacts and understands who to reach out to for information. Forms connections with correspondence staff in similar roles in other departments and attends meetings with government correspondence managers in the manager's absence. 
     
  • Drive for Results: Takes steps to acquire knowledge of Education and government as a whole in order to triage requests appropriately. Provides feedback to writing staff, ensuring correspondence and other written materials exceed government guidelines and standards. Helps to develop resources for the department and helps to lead training sessions, including writing workshops for department staff.

Qualifications

University graduation in a related field like communications, journalism, political science, or public administration, plus four years of progressively responsible related experience; or equivalent as described below. Equivalency: Directly related education or experience is considered on the basis of one year of education for one year of experience or one year of experience for one year of education.
 

Knowledge and/or experience of the following are considered assets for this position: 
 

  • Knowledge of Education's divisional structure and areas of policy responsibility is essential, as is knowledge of Government of Alberta and ministry internal administrative policies, processes, and business practices.
  • Excellent English verbal and writing skills.
  • Exceptional organization skills and attention to detail to ensure accuracy and timeliness of responses to issues and information requests Excellent computer skills, good knowledge of appropriate software, and ability to organize data logically.
  • Knowledge of Alberta Education's divisional structure and areas of policy responsibility is essential, as is knowledge of Government of Alberta and ministry internal administrative policies.
  • Experience working in and knowledge of the Kindergarten to Grade 12 education system are assets.
  • Experience writing and editing a variety of materials, especially in a government setting
  • Strong working knowledge of government processes, functions, and roles.
  • Very strong knowledge of the ARTS application and ARTS processes. 
  • Ability to conduct independent research and evaluate information.
