Our client, a leader in the outdoor equipment and apparel space, is seeking an Athlete Program Coordinator to support their team on a contract basis. This role is based out of their head office in North Vancouver and is open to candidates eligible to work in Canada. A hybrid work arrangement may be considered.

This is an exciting opportunity to be part of the team that brings the client's Athlete Program to life. As Athlete Program Coordinator, you’ll help shape how the client supports and engages with world-class athletes across ski, snowboard, climb, and mountain run. This role ensures smooth communication, consistent documentation, and effective project tracking. By coordinating a range of athlete-facing workflows, the coordinator helps the team stay organized, responsive, and aligned — ultimately supporting the Sports Marketing department and Athlete Program in making meaningful contributions to the business and community through an authentic, endemic connection to the client's core sports.

Responsibilities:
  • Monitor athlete-related emails, messages, and requests; respond to general inquiries and send holding messages as needed to ensure timely communication
  • Track and document requests, updates, and follow-ups; escalate, connect-the-dots, or redirect when appropriate
  • Maintain and update the Athlete Hub with current program documents, onboarding materials, policies, and process guidelines
  • Assist with athlete product orders and seeding coordination in the SAP system
  • Support logistics and execution for athlete events, travel, and team moments (e.g., Athlete Summits, Team Trips, Virtual Huddles, Onboarding Visits, Sponsored Industry Events)
  • Support the contract renewal process, ensuring documentation, terms, and changes, are accurate, approved, and properly tracked
  • Track athlete and program partner deliverables, ensuring completion and visibility
  • Recommend and help implement workflow improvements and tools that enhance team efficiency
  • Compile and help analyze athlete data to support recruitment and future team planning
  • Coordinate workback timelines, track milestones, and support communication across program initiatives
  • Help maintain the annual Sports Marketing Team calendar, keeping athletes and teams informed of key dates and milestones.
  • Schedule and organize meetings with internal teams, athletes, and captains; take notes, track action items, and manage timelines using project tracking tools
  • Track athlete performance metrics and compile updates for internal and external share backs
  • Support Athlete JEDI program execution and assist with future grants facilitation

Qualifications:
  • 2–4 years of experience in coordination, operations, or program support — ideally in sport, marketing, or the outdoor industry
  • Highly organized, detail-oriented, and proactive, with strong communication and follow-through skills
  • Skilled at identifying and implementing process improvements
  • Self-motivated, collaborative, and passionate about program effectiveness and impact
  • Experienced in project tracking, timeline management, and keeping initiatives on schedule
  • Proficient in Microsoft Suite, Teams, Google Workspace, and Smartsheets (or similar tools)
  • Familiarity with ERP systems such as SAP is an asset
  • Experience with budgeting or financial planning — ideally in a marketing or creative environment — is an asset
  • Thrives in a fast-paced, team-oriented setting
  • Passionate about the outdoors — especially skiing, snowboarding, climbing, and mountain running — and excited to contribute to a world-class athlete program
