Our client in the mental health industry is hiring an Administrative Coordinator to support the implementation of the Epic electronic health record (EHR) system. This role involves coordinating project schedules, tracking milestones, maintaining documentation, and facilitating communications.

  • Location: Fully on-site in Ottawa
  • Work Schedule: Monday to Friday, 8:30 AM – 4:30 PM
  • Pay Rate: $22/hour
  • Contract Duration: Approximately 3 weeks, with a possibility of extension 

Responsibilities:

  • Support the implementation and transition from Meditech to Epic
  • Serve as a central point of contact for project coordination, ensuring clear communication between stakeholders
  • Track project timelines, milestones, and deliverables
  • Maintain and update project documentation, including reports, meeting minutes, and action items
  • Schedule and organize meetings for project updates and stakeholder briefings
  • Assist with planning and coordinating staff training for the new system
  • Oversee staff scheduling and coordinate coverage as needed
  • Monitor inventory and supplies required for project implementation
  • Ensure compliance with privacy and confidentiality policies when handling sensitive information
  • Work closely with project managers, IT teams, clinical staff, and external vendors to ensure seamless execution

Requirements:

  • Previous administrative experience in a healthcare setting preferred
  • Familiarity with Epic or other electronic health record systems is an asset
  • Strong organizational and time-management skills
  • Ability to handle confidential information with discretion
  • Proficiency in data entry, documentation, and scheduling
  • Fully vaccinated against COVID-19 (two doses)
