We are building a talent pool for upcoming contract opportunities with a provincial government agency. These roles provide an ongoing opportunity to contribute to a high-volume document imaging and records management environment until March 2028.
This opportunity requires working fully on-site and offers a regular schedule from 7:30 AM to 4:30 PM (7.25 hours per day).
Position Overview:
As part of the processing team, you will be responsible for accurately transferring data from various source documents and images into government database systems. The role requires keen attention to detail, the ability to follow strict data integrity procedures, and a commitment to maintaining security and confidentiality standards. You will also assist in processing tax returns and remittances as needed.
Key Responsibilities:
- Convert data from source documents and images using various computer programs and controls to ensure accurate data entry.
- Verify and categorize images according to transaction type and statute, making necessary reclassifications.
- Perform quality checks on captured images to ensure legibility, legality, and compliance with established guidelines.
- Update and modify data files by adding, deleting, or changing records to meet client specifications and database requirements.
- Ensure security measures are followed, including properly storing documents and safeguarding computer terminals when not in use.
- Provide feedback during the testing phase of new or revised data entry applications to improve efficiency.
- Support the team leader by offering guidance on work processes and assisting in training new or temporary staff.
- Process tax returns and remittances, including extracting and analyzing documentation, verifying cheque negotiability, and sorting information into workflow categories.
- Prepare and batch incoming mail for image capture, ensuring all documents are accounted for and properly categorized.
- Examine documents for potential security concerns and follow escalation protocols as necessary.
- Complete additional administrative tasks as assigned by management.
Required Knowledge & Skills:
- Proficiency in using interactive computer terminals and data entry programs for online and batch updates.
- Experience navigating multiple database systems efficiently to ensure timely data processing.
- Understanding of tax remittance and payment processing procedures.
- Familiarity with clerical procedures and document management best practices.
- Strong arithmetic skills to ensure accurate batch counts and numerical data processing.
- Ability to type at a minimum of 10,000 keystrokes per hour (ksph) with an error rate below 1%.
- Analytical and observational skills to assess document accuracy and workflow categorization.
- Strong comprehension of written and verbal instructions to ensure compliance with data entry procedures.
- Excellent communication skills for collaborating with team members and addressing technical issues.
- High attention to detail and judgment to identify and escalate potential concerns promptly.
- Strong interpersonal skills, with the ability to work collaboratively in a team environment while maintaining professionalism and diplomacy.
